What we collect and why
- your name and email, chosen packages and project title. Payments are processed by Stripeon Stripe's own pages; we never see or store your card details, only your name, email and order information, needed to deliver the work and meet our accounting obligations.
- anything you share for your project (stills, scripts, links, references, screener links) is used only to produce your deliverables and is shared with the designer or editor assigned to your order.
- payment confirmations, your brief link, and delivery updates are sent through Resend, our transactional email provider. These are order-related emails only; we do not run a marketing mailing list, and your address is never used to send you one.
- if you use the contact form, your name, email address and question are emailed to our team through Resend so we can reply. They are not added to any list.
Cookies and analytics
We use PostHog, hosted in the EU, to understand how visitors use this site, so we can improve it. Whatever you choose, it records which pages are viewed, the steps you take (such as choosing a package, starting checkout or sending the contact form), where on the page people click, how fast pages load, and any errors the site hits. Your choice in the cookie banner decides how:
- Before you choose, or if you reject:without cookies and without storing anything on your device. PostHog uses an anonymous code that changes every day, so you can't be recognised from one day to the next. No recordings are made.
- If you accept: PostHog sets a first-party cookie so it can recognise your visits over time, and makes anonymous session recordings of how the pages were scrolled and clicked. Anything typed into forms is masked.
- Visitors in US time zonesdon't see the banner: analytics with cookies is on from the first visit.
You can change your mind at any time with Cookie settings at the bottom of every page.
Your IP address is anonymised before it is stored. The pages for your order and your brief are never tracked, because their web addresses contain your private access link.
If you buy after accepting cookies, your email address is added to your analytics profile, so we can see how customers found and used the site. If you didn't accept, your purchase is counted without being linked to your browsing.
Where your visit came from. When you start checkout or send the contact form, we record how you reached the site: the website that linked to us, any campaign tag in the link, and the first page you saw. For an order, this travels with it through Stripe. With analytics consent, it also includes your analytics ID, which links the order to your visit. It never includes your name or payment details.
Legal basis. Cookies, recordings and linking your email address to your analytics profile rely on your consent. Cookieless counting and technical error logs rely on our legitimate interest in running a working, secure site. Order data is processed to perform our contract with you and to meet our legal obligations.
Who else handles your data
We share personal data only with the providers we need to run the service:
- Stripe: payments and tax
- Resend: order emails and contact-form messages
- PostHog (EU): analytics, as described above
- Grafana Labs (UK region): technical logs, used to keep the site working. Names and email addresses are removed before logs are sent.
- our website hosting, database and file-storage providers: they store the site, your order and the files you upload for your brief
Where a provider processes data outside the UK, it does so under the transfer safeguards in its data processing terms.
How long we keep data
Order and accounting records. We retain order records, invoices, and related financial documentation for as long as required to meet our accounting, tax, and legal obligations. This ensures full compliance with applicable statutory requirements and allows us to provide accurate financial reporting, audit trails, and documentation should it be needed for legal, regulatory, or tax purposes. Once these retention obligations have been satisfied, such records are securely deleted or anonymised in line with our data protection practices.
Project materials. Project materials — including but not limited to design files, source assets, drafts, and related creative work — are retained for the full duration of the project and for a further period of 6 months following project completion. This archive period is maintained as a courtesy to our clients, allowing us to quickly retrieve and reference prior work should you wish to commission further updates, revisions, or related projects within that window, without the need to rebuild materials from scratch.
After the 6-month archive period has elapsed, project materials may be securely and permanently removed from our systems, unless a longer retention period is separately agreed, required by contract, or mandated by law. Clients wishing to retain copies of their project materials beyond this period are encouraged to request final files directly from us prior to the end of the archive window.
Analytics. Session recordings are deleted after 30 days. Other analytics data is kept only while it helps us understand how the site is used. Technical logs are kept briefly, for troubleshooting.
We handle all retained data in accordance with our data protection obligations, ensuring that records and materials are stored securely and accessed only where necessary for the purposes outlined above.
Your rights
Under UK GDPR and the Data Protection Act 2018, you have the right to access, correct, delete, restrict, or transfer the personal data we hold about you, as well as the right to object to certain processing, such as direct marketing. We will respond to any such requests within one calendar month and will not charge a fee for reasonable requests, though we may need to verify your identity or retain certain data for legal or accounting purposes in line with our retention policy.
To exercise any of these rights, or for any questions about how we handle your personal data, please email hello@rwicreative.com. You can withdraw analytics consent at any time with Cookie settings at the bottom of every page.
If you're not satisfied with our response, you have the right to complain to the Information Commissioner's Office (ico.org.uk).
